Executive Assistant/Studio Coordinator

Salary £28,000 to 32,000, based on experience
Reports to CEO and Studio Manager

Role summary

We’re looking for a highly organised, proactive Executive Assistant/Studio Coordinator to support senior leadership and team while also helping keep our studio and office running smoothly.

About the role

This is a varied role for someone highly organised, proactive, who enjoys being at the centre of a creative studio environment, balancing EA responsibilities with hands-on operational and purchasing support.

Key responsibilities

Executive Assistant

  • Provide high-level EA support to the CEO/Directors.
  • Manage complex diaries, meetings, and travel arrangements.
  • Act as a key point of contact between leadership and internal/external stakeholders.
  • Prepare presentations, reports, and briefing documents.
  • Handle confidential information with discretion.

Studio & Office Support

  • Support daily studio and office operations, ensuring an efficient and well-organised workspace.
  • Coordinate studio bookings, meeting rooms, and shared resources.
  • Support in liaising with facilities, IT, and service providers.
  • Help maintain a safe, organised, and efficient working environment.

Procurement Management

  • Manage day-to-day purchasing for studio, office, and operational needs.
  • Source suppliers, obtain quotes, raise purchase orders, and track deliveries.
  • Maintain accurate supplier and procurement records.
  • Monitor spend and highlight cost-saving opportunities.
  • Support improvements to procurement processes as the studio grows.

What we are looking for

General & Values

  • Show flexibility during peak times, with reasonable adjustments.
  • Commit to personal and professional development.

Must have

  • Experience as an EA, Office Manager, Studio Assistant, or similar.
  • Strong organisational and multitasking skills
  • Confident communicator with a professional, discreet approach
  • Comfortable being hands-on and working as part of a team
  • Some experience with purchasing or procurement (formal or informal)

Nice to have

  • Experience in a creative or studio-based environment.
  • Exposure to budgets or finance systems
